A change order needs the job, the change, the price, and a yes. You keep pieces in a PDF, a thread, and a note. If two people on the team handle the same change, you get two shapes of the same ask.
ChatGPT can draft the form copy. It cannot host the form. It cannot keep the submissions. Pasting a third-party form link into the chat is still you running change orders somewhere else.
What your AI assistant does
It publishes a short form on your domain: job, description, amount, who approves. Other people open the URL. They submit. The answers land in Files or a list your team shares.
You ask it to list open change orders. You ask it to draft the confirmation. Mail sends from an address. Replies come back. The next person on your team opens the same list. They do not ask you to forward the last PDF.
If you want a weekday pass, a Routine runs code on a schedule. Ordinary bash. No model in the loop. It lists what is still waiting for a yes. It does not wake a model to rebuild the queue every morning.
