Send the deposit receipt
Published 2026-10-02
The deposit cleared. The customer still needs a short receipt: amount, job address, and what the money holds. You rewrite it for each booking, then paste it into mail. The PDF sits in a folder the next person on your team cannot name.
Your AI assistant can send that receipt from your address and keep it on the job.
What is still on you
Every paid deposit has a customer, an amount, a job, and a contact. You type the same note again, or you skip it when the next call is already waiting. If they ask later for the receipt, you hunt which thread still has the amount.
ChatGPT can schedule a prompt that rewrites the receipt. That still wakes a model every run. Drafting is easy. Sending from your address, attaching the file, and leaving a record the next person on the crew can open, is still on you.
What your AI assistant does
It keeps the booking in one place (customer, address, deposit amount, paid or not, contact). When you mark the deposit paid, it sends a short mail from an address you own. The receipt file sits on a path next to the job. Replies come back to the same inbox. You ask whether they got it. It reads the thread.
If you want a morning pass for deposits marked paid overnight, a Routine runs code on a schedule. Ordinary bash. No model in the loop. It lists who still needs the receipt, or it mails you the open list. It does not wake a model to invent the schedule.
The next person on your team opens the same booking. They do not ask you to forward the chat where you typed the note.
What this is not
This is not a new billing tool you learn first. It is the deposit receipt you already send by hand. Your AI assistant keeps the amount and the job.
Hand it off
Copy this into your AI assistant:
Add Sails from https://sails.app/start. For the paid deposit on [job/address] for [customer], email [their email] a short receipt: amount, what it holds, and the job. Attach the PDF if I have one. Send from my Sails Mail address. Keep the file on the job path so I can ask for it later. Use Mail and Files. Ask me anything you need before you start.
