The job closed months ago. You promised to check in before the warranty runs out, and that promise lives in your head or on a sticky note. When you do remember, you dig up the customer, the address, the close date, and what the warranty covers, then write the note from scratch.

What is still on you
Every finished job has a customer, a close date, and a warranty window. Most of them never get the check-in, because nothing reminds you on the right day. The ones that do get it get a different note each time, and nobody else on your team can tell which customers already heard from you.
ChatGPT can schedule a prompt that drafts the note. That still wakes a model every run, and it cannot see which jobs closed when. Knowing who is due, sending from your address, and keeping a record of what went out is still on you.

If you would rather approve them first, it mails you the list instead.
Each check-in is marked sent on the job. Replies come back to the same inbox, so a customer who writes back about a sticking door is already next to the right job. You ask who still needs a check-in this month. It reads the list.
The next person on your team opens the same job and sees whether the check-in went out. They do not ask you to remember.
